Position Summary
General Purpose
The Admin Assistant reports to the Soft Services Manager and is responsible for providing office and clerical services on the Executive floor. The purpose of the position is to ensure the efficient processing of visitors, administration of meeting rooms and refreshments and lunches and other administrative functions.
Main Job Tasks and Responsibilities
- answer telephone, screen and direct calls in a professional manner
- take and relay messages
- provide information to callers
- screen and greet persons entering the Executive area
- direct persons to correct destinations by informing the EPA of the visitor
- ensures knowledge of staff movements
- general administrative and clerical support
- receive and sort mail and deliveries
- organize Executive allocated meeting rooms(1) and refreshments as per entry in meeting room calendars
- tidy and maintain the reception area – clean desk policy
- order stationery
- order lunches for meetings hosted by GEC members as per EPA requirements
- maintain refreshment stocks
- ordering on SAP for EPA’s
- handle courier and dispatch services on behalf of the EPA’s, as and when required
- assist in the planning and preparation of meetings, conferences and conference telephone calls. Confidentiality high priority.
- coordinate the repair and maintenance of office equipment
- ensure Executive allocated meeting rooms, as well as the lounge and dining room areas, are clean and tidy and set up for meetings
- assist with setting up presentations and conference calls in the meeting rooms
- ensure the kitchen personnel provides refreshments for meetings in the Executive allocated meeting rooms(1) as per EPA requests
- ad hoc administrative duties and other reception duties – as and when required
- Order flowers for Executive floor reception area and deliveries as per GEC / EPA requests
- ensure rest rooms on the Executive floor are tidy, stocked and maintained at all times
Job Requirements
Education and Experience
- Matric with experience or certificate
- Knowledge of administrative and clerical procedures
- Knowledge of computers and relevant software applications (MS Word, PowerPoint, Excel)
- Knowledge of data projectors, conference phone units and touch screen panels and basic problem solving thereof
- Knowledge of customer service principles and practices
- Experience in an executive environment
- SAP an advantage
