Ensuring accurate staff planning.

Supporting managers and partners with the optimal functioning of the Banking and Capital Markets Division.

Responsibilities/Output:

Managing the accuracy of the Retain database as follows:

o Daily liaison with partners, managers and staff in the division as well as other divisions and offices within the firm regarding all planning related matters.

o Ensuring all planning requests are updated on Retain promptly and accurately.

o Ensuring all planning for the current year on Retain is roll forward correctly to the next year.

o Prompt resolution of clashes on Retain, in conjunction with managers and partners.

o Managing staff availability and in so doing keeping availability as low as possible.

o Ensuring Retain reflects the correct client codes as per Maconomy, ie ensuring that when a code is closed on Maconomy that the new code reflect on retain, and that

old codes reflect on retain

o Updating Retain with ad hoc events such as group social activities and training specific to the division only.

o Attend monthly staff planners meeting together with HC Partner and communicate important matters back to managers and partners.

o Building appropriate portfolios for new joiners.

o Establishing appropriate relationships with staff at all levels within the division



Managing the leave process (annual, sick, study and compassionate) as follows:

o Reconciling total leave taken as per the payroll system to the actual leave booked per Maconomy and follow up differences with staff.

o Ensuring Retain reflects all leave accurately as per the leave database as well as LIME.

o Managing overtime balances in accordance to HC guidelines.



Assisting the HC partner with monthly reporting as follows:

o Preparation of the following reports to be included in monthly management packs and for discussion at monthly staff planners meetings



Projection reports compiled from Retain and Qlikview for the month as well as the year ahead.

Reports analysing variances between monthly projections and actual time booked per Maconomy.

Preparation of monthly staff availability schedules to be used in assisting other divisions where there are significant needs.

Assisting with the timesheet review process as follows:

o Ensuring timely processing and approval of timesheets, expense claims and supporting documents of all staff up to Partner level.

o Acting as Maconomy champion and provide assistance and information to all staff as requested as well as training when applicable - in regards to timesheets and expense

Supporting the optimal functioning of the division through your input, support and interaction with staff as follows:

o Notifying the division of all appointments, resignations, transfers, birthdays, weddings, engagements, births and condolences via email.

o Assisting in the administration of vacation and jobs shadowing students as and when required.

Requirements

Qualification Level: Project management diploma / certificate
Additional Qualification Level: n/a
Experience Required: 5 - 10 years

Competencies / Skills:

Grade 12

• Appropriate project management qualification

• Minimum 5 years general Human Resources administration/office management experience

• Advanced knowledge of MS Office, specifically Excel

• Ideally experience using Retain, Qlikview and WIP or project management/administration experience and utilisation of relevant skills and systems

• Strong numeracy skills

• Enjoyment of working with figures, and an understanding of forecasting principles

• Strong problem solving and organisational skills

• Assertiveness

• Strong people skills and conflict resolution skills and experience

• Project management and people management experience

• Ability to think on your feet
