REQUIREMENTS :
Applicants must be in possession of a Secretarial diploma or Grade 12 (Matric)
Certificate with relevant experience in a secretarial and/or administrative support
environment. Good telephone etiquette. Interpersonal relations and
organisational skills. Good communication (verbal and written) skills. Diary
management. Knowledge of different filing techniques. and office keep etiquette.
Typing skills. Ability to work individually as well as in a team. Ability to handle
confidential documents and maintain a document system. Ability to organise and
prioritise work. Computer literacy in MS Office software.
DUTIES :
The incumbent will be responsible for the overall administration of the Director’s
Office. Maintain an up-to-date document system. Diary management and coordination
of office activities. Manage all incoming and outgoing correspondence.
Create and manage a filing and tracking system. Prepare for meetings and
workshops. Prepare and produce documents when requested. Taking minutes
and compiling reports. Provide reception services, including a screening service.
Receiving as well as attending to messages and providing hospitable reception of
visitors. Arrange and/or serve refreshments. Prepare travel and accommodation
arrangements as well as process all subsistence and travel claims. Handle
confidential documents. Provide office administration support to the Subdirectorate
when requested. Type correspondence such as letters, submissions
and reports. Perform all general secretarial and administrative tasks as required.
