Key Responsibilities:

Events Management: Conferences:
• Assist in planning and coordinating national and international conferences
• General coordination inclusive of handling invitations and responses.
• Plan, arrange and execute a mini exhibition for the academy and other external stakeholders.
Training Programmes:
• Participate and contribute in ensuring that DBSA VA meet BSC targets by planning, marketing and
coordinating training programmes and workshops
• Coordinate national and international training programmes
• Advertise training programmes to municipalities, sending reminders, handling responses, attend and
resolve queries of registered delegates
• Communicate with service providers, facilitator/s and programme manager/s regarding training
requirements and number of registered delegates
• Coordinating and printing of training material and ensure that the manuals meet Vulindlela Academy requirements
• Ordering stationery and equipment to be used for training interventions, and courier training material to the
training venue.
• Make national and international travel and accommodation arrangement for the programme manager/s’
delegates and the facilitator/s and make shuttle bookings
• Scheduling of appointments with potential clients and service providers ,
• Source out quotations and venue inspections
• Participate in the designing and implementation of Vulindlela business processes, systems and tools for
training
• Attend the actual delivery of training (to administer the attendance of both learner and provider)
Logistical arrangements:
• Set up the venue, (as per the facilitator’s requirement)
Administer the registration process during training
• Prepare attendance register and name tags
• Process invoices, follow up with finance and send proof of payments to services provider
• Prepare invoices to clients and follow up regarding payment
Monitor portfolios of evidence
Support to Programme Managers:
• Prepare and compile monthly internal reports that highlight learner statistics and challenges.
• Compiled a course outline booklet
• Develop and design yearly calendar for the programme manager
• Plan, and execute training as required by programme managers
Human Resources:
• Orientate and mentor temporary employees
Information Management
• Create and maintain record and filling system both manually and electronically.
• Capturing of learner records onto VA database
• Capturing of clients satisfaction levels on our database
• Administration of Vulindlela QMS including soft and hard records.
Client Liaison
• Build and maintain good client relations by receiving, giving and effectively attending to various range of
queries both internally and externally and market DBSA Vulindlela Academy to possible clients.

Document generation:

• Compiling of correspondences, collating data and producing routine progress reports and proposal and
make recommendations. Collate, process and manage relevant reports accordingly
• Participate in designing and reproducing training manuals and branding from material received from
various sources

Policy & Procedure Compliance:

• Assist in ensuring that appointed services provider comply with applicable DBSA policies and Vulindlela procedures, monitor the contract between DBSA VA and the provider.

Expertise & Technical Competencies:


Diploma in business management / administration and/ or 3 years of administrative experience
preferably in a training environment;
• Drivers licence (code 8);
