Background / General description

The International Finance Corporation, the private sector arm of the World Bank Group, Johannesburg, South Africa, is seeking to recruit a qualified candidate to fill the post of Team Assistant. The primary objective of the Team Assistant will be to support the regional communications team that includes 4 non-administrative staff. The successful candidate will work in a fast-paced environment supporting media relations, print and Web publishing, marketing, internal communications, and external relations activities. The assistant will also be a member of a large team in the IFC Johannesburg office.

Duties and Accountabilities

Provide primary assistance to communications officers and analysts in the implementation of communications and marketing activities;
For senior staff, maintain schedules and appointments and coordinate responses on urgent issues during travel;
Provide support for a range of communications activities, i.e. typesetting, graphic design, Web-related software, Photoshop, PowerPoint.
Draft routine correspondence, a variety of standard documents and proofread materials, mainly in English, applying effective proofreading and grammar skills;
Take routine messages and questions from external parties, i.e., media or civil society organizations, that involves attention to detail and prompt handling.
Open and maintain up-to-date work unit project/travel and other files (both paper and electronic) for the relevant officers;
Assist in the preparation and logistical planning for various events, in coordination with the event coordinator;
Work closely with the whole team, coordinate with relevant staff and provide assistance and/or information on project-related matters;
Monitor changes and communicate the relevant information to appropriate staff, both inside and outside the immediate work unit;
Coordinate extensively with service units and liaise frequently with team members both at headquarters and in the field;
Act as back-up for other administrative and client services colleagues, as determined by the Office Manager and/or primary supervisor.

Selection Criteria

A minimum of a High School and Secretarial Diploma or equivalent diploma, with a minimum of 3-5 years experience;
Experience working for an advertising agency, public relations firm, media organization, or design firm will be an advantage; familiarity with social media and the web;
Demonstrated interest and aptitude for communications and marketing related work;
Effective proofreading and grammar skills;
High degree of judgment and tact in handling, processing and communicating matters of a sensitive and confidential nature;
Willingness to learn and develop skills in at least one specialist area in communications activities such as typesetting, graphic design, Web-related software, Photoshop, PowerPoint;
Positive attitude, demonstrated initiative and resourcefulness; ability to handle multiple tasks simultaneously;
Outstanding interpersonal skills to interact effectively with a range of contacts internally and externally and deal effectively with diverse situations which require good judgment, tact and diplomacy;
Proven ability to work effectively in a team-orientated, multi-cultural environment, and function as an effective team member in various groups;
Strong written and verbal communication skills to prepare/draft communications and ensure quality of written outputs;
Proficiency in using computer applications, including Microsoft Word, Excel, PowerPoint; knowledge of Bank policies and procedures would be an advantage;
Ability to produce high-quality work under pressure; effective time management and organizational skills;
Fluency in English essential; French language skills an advantage
