Brief Description
Assists various project teams with the administrative load of projects, as well as perform some basic project management functions. This role also requires some personal assistant tasks. It also entails a company secretary role to the different Management Boards
KRA's
Project Administration
· Assists various project teams with the administrative load of projects (defined by project methodology requirements).
· Assists in arranging workshops and captures workshop information into the appropriate templates.
· Attends project meetings in order to take minutes.
· Assists in the updating of project plans.
Admin & Support
· Diary management and arranging meetings.
· Personal folder management of emails.
· Travel arrangements.
· Co-ordinate documents for signing from across the business.
· Subscription & Membership (renewal & payments).
· Attend to visitors (parking, access, refreshments, send maps/directions).
· Co-ordinate weekly team meetings and one on ones.
· Gathering agenda items, preparing agendas, pulling together the papers, preparing slide presentations, distributing papers on time, attending meetings, running meetings and taking minutes
Personal Effectiveness
· Accountable for service delivery through own efforts.
· Individually accountable for managing own time, tasks and output quality for periods of 1 day to a maximum of 3 months.
· Makes increased contributions by broadening individual skills.
· Collaborates effectively with others to achieve personal results.

Job Requirements
· Grade 12 (Matric).
· Project Administration qualification is advantageous.
· IT literate, able to be the super user in the area when it comes to advising on Word, PowerPoint and Excel.
· A good working knowledge of project management tools.
· Good organisational skills.
· Excellent PowerPoint skills.
· Proactive, takes actions promptly, seeks opportunities to do things better.
· Good inter-personal skills able to relate well to service providers such as members of senior management Prepared to put in extra effort and work longer hours at crunch times.
· Able to operate independently and make sure office runs smoothly even when the manager is not there
· Takes care of admin without the manager having to worry about it.
· Has a well-balanced view on what is acceptable from a cost saving perspective i.t.o the effect these savings have on other issues such as service, time-saving etc. and takes this into consideration when making decisions.
Grammar and spelling of a high standard – no errors on any correspondence.
